Insert a picture or clip art

You can insert or copy pictures and clip art into a Microsoft Office Excel 2007 worksheet or a Microsoft Office PowerPoint 2007 presentation from sources such as clip art Web site providers, Web pages, or files on your computer. You can use pictures and clip art as backgrounds for your slides in Office PowerPoint 2007.
This article discusses inserting pictures or clip art in Office Excel 2007, in Microsoft Office Outlook 2007, and in Office PowerPoint 2007. For more information about inserting pictures or clip art in Microsoft Office Word 2007, see Insert a picture or clip art in Word 2007.

Insert clip art

Do the following for all programs listed in the Applies To at the top of the article.
  1. On the Insert tab, in the Illustrations group, click Clip Art.

  1. In the Clip Art task pane, in the Search for text box, type a word or phrase that describes the clip art that you want, or type all or some of the file name of the clip art.
  2. Click Go.
  3. In the list of results, click the clip art to insert it.
 TIP   To insert clip art into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Insert a picture from a Web page

Do the following for all programs listed in the Applies To at the top of the article.
  1. On the Web page, right-click the picture that you want, and then click Save Picture As on the shortcut menu.
  2. Enter the name that you want in the File name box, and then click Save.
  3. In your worksheet, presentation, or e-mail message, on the Insert tab, in the Illustrations group, clickPicture.

  1. Locate the picture that you saved in step 2, and then click Insert.
 TIP   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Copy a picture from a Web page

Do the following for all programs listed in the Applies To at the top of the article.
 TIP   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the following.
  1. On the Web page, right-click the picture that you want, and then click Copy on the shortcut menu.
  2. In your worksheet, presentation, or e-mail message, right-click where you want to insert the picture, and then click Paste on the shortcut menu.
Make sure that the picture that you choose is not hyperlinked to another Web page. If you choose a picture that is hyperlinked to another Web page, it will be inserted in your document as a hyperlink to that Web page instead of as an image.

Insert a picture from a file

Do the following for all programs listed in the Applies To at the top of the article.
  1. Click where you want to insert the picture.
  2. On the Insert tab, in the Illustrations group, click Picture.

  1. Locate the picture that you want to insert, and then double-click it.
To add multiple pictures, press and hold CTRL while you click the pictures that you want to insert, and then clickInsert.
 NOTE   Pictures that you insert from a file are embedded in your worksheet or presentation. You can reduce the size of a file by linking to a picture instead. In the Insert Picture dialog box, click the picture that you want to insert, click the arrow next to Insert, and then click Link to File.
 TIP   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Create an organization chart

  1. On the Insert tab, in the Illustrations group, click SmartArt.

  1. In the Choose a SmartArt Graphic gallery, click Hierarchy, click an organization chart layout (such asOrganization Chart), and then click OK.
  2. To enter your text, do one of the following:
  • Click in a box in the SmartArt graphic, and then type your text.
 NOTE   For best results, use this option after you add all of the boxes that you want.
  • Click [Text] in the Text pane, and then type your text.
  • Copy text from another location or program, click [Text] in the Text pane, and then paste your text.
 NOTE   If the Text pane is not visible, click the control.

Add or delete boxes in your organization chart

Add a box

  1. Click the SmartArt graphic that you want to add a box to.
  2. Click the existing box that is located closest to where you want to add the new box.
  3. Under SmartArt Tools, on the Design tab, in the Create Graphic group, click the arrow under Add Shape, and then do one of the following:

If you don't see the SmartArt Tools or Design tabs, make sure that you've selected a SmartArt graphic.
  • To insert a box at the same level as the selected box but following it, click Add Shape After.
  • To insert a box at the same level as the selected box but before it, click Add Shape Before.
  • To insert a box one level above the selected box, click Add Shape Above.
The new box takes the position of the selected box, and the selected box and all of the boxes directly below it are each demoted one level.
  • To insert a box one level below the selected box, click Add Shape Below.
The new box is added after the other box at the same level.
  • To add an assistant box, click Add Assistant.

Rehearse and record slide timings

 NOTE   Be prepared to begin timing your presentation immediately after you perform the first step in this procedure.
  1. On the Slide Show tab, in the Set Up group, click Rehearse Timings.
The Rehearsal toolbar appears and the Slide Time box begins timing the presentation.

  1. While timing your presentation, do one or more of the following on the Rehearsal toolbar:
    • To move to the next slide, click Next.
    • To temporarily stop recording the time, click Pause.
    • To restart recording the time after pausing, click Pause.
    • To set an exact length of time for a slide to appear, type the length of time in the Slide Time box.
    • To restart recording the time for the current slide, click Repeat.
  2. After you set the time for the last slide, a message box displays the total time for the presentation and prompts you to do one of the following:
    • To keep the recorded slide timings, click Yes.
    • To discard the recorded slide timings, click No.
Slide Sorter view appears and displays the time of each slide in your presentation.

Set up a presentation to run at a kiosk

Setting up a presentation to run at a kiosk allows you to control whether a mouse click anywhere on the screen advances a slide. For example, if you want your presentation to be viewed at a specific pace, set automatic timings, and then set the presentation to run at a kiosk. To give users additional control, you can add navigation, such as hyperlinks or action buttons, to your slides.
  1. On the Slide Show tab, in the Set Up group, click Set Up Slide Show.
  2. Under Show type, click Browsed at a kiosk (full screen).
